Project Plan

 

You are to define and plan a project to implement. It is recommended that the project you choose is from your workplace. If you are not in the workplace you can chose an alternative organisation. For example a local charity, sporting club or school. You will need to check the concept with your lecturer prior to starting the assessment by gaining written approval.

 

The project you undertake will need to involve not only your lecturer but at least 2 other ‘team’ members.  Where possible these team members need to be working on the project with you.  Alternatively you can recruit 2 work colleagues or friends to roleplay their part in the project. These team members will need job titles and you will need to seek their input and feedback.

 

Please select a project that you can reasonably plan, implement and finalise within the 18-week duration of this course.

 

Potential projects could include: an event, a promotional campaign, an organisational research project, a business product or service development, customer centric project (in part a survey), an in-house training program, a web conference etc.

You will need to complete the Policy Plan Template.  You will need to change and adapt each section to clearly reflect your plan.

1.      Using the guidelines in the Project Plan Template (section 2.1), write a Project Statement for the project you will undertake. Email this to your lecturer who will assume the role of Senior Manager. Obtain feedback and authorisation in writing from your lecturer. You lecturer will provide feedback relating to any immediate issues and the project parameters.

Throughout this project you will be required to communicate with stakeholders and provide support to project team members, especially with regard to specific needs.  This will ensure that the quality of the expected outcomes of the project and documented time lines are met. Make sure you gather evidence of this (i.e in emails, meeting minutes, recorded interview)

2.      Using the Project Plan Template adjust and complete the document to reflect the project you are planning.
The template will reflect:
3.      Project scope, relevant documentation and legislative and organisational requirements met (Section 2 and 3)
4.      Identify stakeholders (Section 6)
5.      Identify limits of own responsibility and reporting requirements (Section 5.2, 9.4)
6.      Clarify relationship of project to other projects and organisational objectives (Section 3.8, 3.1)
7.      Determine and access available resources to undertake project (Section 8)
8.      Develop project plan in line with project parameters and develop a Gantt chart showing work breakdown (All sections in relation to Section 2, Section 7)
9.      Identify and access appropriate project management tools (Section 4 and Section 8)
10.   Formulate a risk management plan for project including WHS (Section 10)
11.   Develop and approve project budget (Section 8.1)
12.   Finalise the project plan and gain approvals to commence the project (Page 1)
13.   Establish and maintain required record keeping systems throughout the project (Section 11)
14.   Implement and monitor plans for managing project finances resources and quality (Section 8)
Consult with team members. Select and uses appropriate communication protocols and practices to ensure your team understands project roles and expectations.  Take into account their views when planning the project.  You will need to attach evidence of a recorded formal or informal meeting or team brief where you explain the project, project outcomes and request feedback with the associated team members.  In this meeting you need to show the following:
1.     You use clear language when explaining the project (use plain English)
2.     Use at least 3 questioning and 3 listening techniques to clarify the communication of information.

·         Questioning techniques can be use of open questions, closed questions to clarify or probing questions.

·         Listening techniques include positive body language (nodding, smiling, nonverbal cues), summarising what the employee has said,  using language that indicates understanding or acknowledgement of what the employee is saying, acting on what the employee has said.

3.     That each team member has their job role and responsibilities described to them as detailed in the Project Plan documentation. Clarity is sought to demonstrate that team members understand their role and responsibility
4.     Explain how you will communicate as a team throughout the project and again ask for feedback and input (you might use an online forum, messenger, email or regular face to face meetings)
5.     Explain to the team the budget for the project and break this budget allocation down so that each individual is aware of their own budgetary responsibilities
6.     Provide evidence of how you provided support to project team members, especially with regard to specific needs, to ensure that the quality of the expected outcomes of the project and documented time lines are met. Attach this as a separate file when submitting.
